Official and Unofficial web sites at EMU
1. What is an official
EMU web site?
According to the EMU web
policy, a University
web site or page is considered official when it is published
by (and representative of) the University itself, or a college,
department, or official administrative unit of the University. The
web sites and pages of individuals--including
faculty, staff and students and student organizations--are NOT
official EMU web sites (except in the case of sites created
to represent the University on behalf of executive officers and
Regents). Personal and individual
web pages are available, and are hosted on the people.emich.edu
server; student organizations seeking server space
should review the information below for their UNOFFICIAL
web sites at EMU and the Special Note: Student
Organization Web Sites.
The EMU web site and its components, including
design, images, written content and all other content, are copyrighted
by EMU and may not be copied, modified, used on other sites or
re-purposed without express, written permission from the EMU Director
of Web Communications. Additional copyright information is here.
Official web pages are considered
University-sponsored communications. Therefore, it is important
that official web pages appropriately represent the University's
mission and commitment
to excellence. The University Marketing and Communications department,
with the ICT department and the Web Advisory Council, will develop
and maintain style, standards and review procedures for official
University web sites/pages.
Administrative and academic units are responsible
for developing their own official EMU web pages using the
graphics, style guidelines, templates and standards provided
by University Marketing and Communications and ICT. EMU web
site templates are specifically provided for this
purpose. Any administrative or academic unit that wishes to modify
the provided templates in any significant way for
its official site must obtain consent from the director of
Web Communications before the project begins, and must obtain
approval from the director before the new site is launched.
It is the responsibility of academic and administrative units
to ensure that all information in their web sites remains
accurate, current and compliant with University policies.
It is the responsibility of web site administrators to ensure
that all materials in their directories on the EMU servers contain
ONLY files and data that are directly and currently a part of
their official EMU web sites.
UNofficial sites at EMU are not permitted
to use the EMU templates or the official "look and feel"
of the EMU web site. They must also provide a disclaimer on their

2. Who can create and work on official EMU web
sites?
There is no specific restriction on who can
work on official EMU web sites, except that site
developers must be directly associated with EMU. (Server access
IS specifically restricted to certain individuals;
see Access to the EMU Servers).
It is STRONGLY recommended that official web site development be
conducted by experienced web professionals, either
on or off campus. Ideally, a faculty member or staff person from
each department with the requisite skill and time could work on
that area's site development. There are circumstances under which
it would be appropriate, and even recommended, that external vendors
work on official web sites (see Working with
External Vendors). There are also circumstances under which
it would be appropriate to have students or GAs work on official
web sites (see Getting Help with Site
Development).
3. Naming your official web site
The issue of web site names (URLs, or the title
that appears in the "address" bar of a web browser) are increasingly
important as EMU works to establish a coherent and professional
web presence for its official web sites. The URL of the EMU web
site and its constituent web sites is www.emich.edu.
EMU and its official sites exist in the ".edu" domain,
which is established exclusively for educational institutions.
EMU provides web space for official EMU sites
(as well as for student organizations and individuals at EMU;
see below under "UNofficial web sites" for information).
Official web sites are usually named with the convention "www.emich.edu/[entity]",
where "entity" is the name of the College, department,
program or other EMU center represented by the site. A directory
on the EMU servers is for the exclusive use of the official site
hosted within that directory and its subdirectories.
In some cases, sites are named with subdomains,
such as "dsa.emich.edu." To create coherence and professionalism
in its web presence, EMU strongly discourages the creation
of additional subdomains, in favor of subdirectories on the main
server. Subdomains or sites within the .com domain
MAY NOT be hosted on EMU servers and MAY NOT represent official
EMU entities. Subdomains in the .org, .net or other domains
are strongly discouraged, as they detract from a cohesive and professional
EMU web presence. Further information on domain

The name (URL) of your web site should directly
and succinctly reflect the name of your College, department, program
or EMU center, and it should be in the format www.emich.edu/[entity].
The director of Web Communications can provide assistance in naming
and establishing your site's directory.
4. UNofficial web sites
While EMU supports the right of individuals,
student organizations, and EMU-associated professional or community
organizations to
develop web sites for their own purposes, these sites are considered UNOFFICIAL
sites at EMU. The University will provide server space
for unofficial sites developed within its policies of acceptable
use and information content, but will not provide web development
or site support services.
Additionally, developers of unofficial sites must be aware
that they are not permitted to use the official EMU templates
or close iterations of the EMU web site's "look and feel."
Unofficial sites are not permitted to use any of the EMU logos
or wordmarks (unless they obtain explicit, written permission
from the director
of Web Communications). Unofficial sites must be clearly distinguishable
from official sites in design and presentation. Web space for
unofficial, individual and personal home pages is provided at people.emich.edu.
Student organizations may request space on our www server in the
/studentorgs directory. Additional information for student

Community and Professional Organizations
If you would like to host an unofficial
web site on EMU's servers but do not believe the people.emich.edu server
meets your specific needs (as with certain community and professional
organization sites, etc.), please contact the Director of Web Communications
with a brief prospectus describing 1) The purpose and general content
of your unofficial site, 2) how your unofficial site relates to
EMU's core mission and why your site should be hosted on our servers,
3) the general nature and quantity of traffic you expect
your site to generate; 4) your long-term plan for maintenance of
the site (i.e. if you should leave EMU or your organization, etc.).
Then, review and accept the additional regulations below before
proceeding. Other regulations concerning unofficial web pages
include the following:
- The contents of individuals' web pages published on EMU servers
must comply with the General
Rules on Information Content
- Any unofficial University site hosted on an EMU server (other
than people.emich.edu) must clearly indicate that it is
unofficial. The approved disclaimer for an unofficial site's
home page is as follows: "This site is hosted on an Eastern
Michigan University server, but is not an official EMU web site.
The material on this site is not officially approved, licensed,
sponsored or endorsed by Eastern Michigan University. The University
assumes no express or implied responsibility for any component
of this site, including content, presentation, usability, accessibility,
accuracy or timeliness, nor of any links directed from this site.
For information about this web site, please contact [a representative
of the group or organization]."
- Professional pages by faculty, containing resume, research,
and course information (except those on the people.emich.edu
server) will be reviewed and approved by the respective
department head. Faculty members are encouraged to use the
people.emich.edu server for their web pages.
- Recognized student organizations may create Web pages
and may install them on the EMU www server. More
information is here.
- Except for pre-approved University-related
items, the
sale or promotion of goods and services is strictly prohibited on
any site hosted on or linked from an EMU server.
- Advertising of any kind is prohibited on any site--official
or unofficial--hosted on an EMU server or part of the broader
EMU web domain (on rare occasions and in very specific circumstances,
certain limited exceptions can be granted. Contact the director
of Web Communications for details).
- Unofficial web sites may not establish their own subdomain
using any path identification associated with Eastern Michigan
University, and may not use or host a site name in the .com
(dot-com) domain. Webmasters of unofficial sites are strongly
encouraged to set up their sites within directories
on people.emich.edu.

EMU provides space on its servers for Student
Organization web sites (see www.emich.edu/studentorgs for
